Finance Director

Title: Finance Director 
Status: Regular, Full Time (40hrs/week)
Salary: $28.85/hr; Estimated Annual Salary $60,000 plus benefits
Location: Based in Brunswick, with remote work from home, as possible/necessary. 

Primary Responsibility: The Finance Director supports SASSMM by maintaining the Agency’s financial records; recording financial transactions; managing accounts payable and receivable; reconciling bank statements and creating financial reports from that information; and prepping payroll and maintaining staff accrued leave balances and retirement contributions. The Finance Director also maintains and manages grant/contract reporting and tracking across multiple funding sources in coordination with the Associate Director and the Executive Director.

Representative Duties:

Financial/Fiscal Management:
  • Contribute to SASSMM Budgetary Strategic Planning & Program Development
  • Contribute to financial compilation of SASSMM Annual Report
  • Collaborate and assist in Annual Agency Budget preparation and the financials for the Annual Report and Annual Contracts
  • Prepare monthly and periodic financial reports for funders, the Board, and the Executive Director
  • Monitor budget and budget/fiscal compliance
  • Maintain an orderly accounting system utilizing QuickBooks Online - Tracking of Accounts Payable / Receivable, monthly Profit and Loss statements, Agency Balance Sheets, Vendor W9’s
  • Manage payroll processing function and relationship with external payroll vendor; compile and submit payroll information on a bi-monthly payroll cycle, including the tracking of staff time and leave, according to contracts/grants; ensure payroll tax deposits, payroll tax returns, 403b payments, workplace giving and annual W2 and W3 forms are timely filed/submitted
  • Prepare and record monthly costs allocations for all projects/grants
  • Reconcile bank statements and monitor cash flow
  • Prepare and retain records of other fiscal documents such as Sales Tax, Maine Charitable Solicitation License, and MEMIC audits
  • Assist with and act as point of contact with audit firms throughout fiscal audits and 990 processes
  • Timely prepare and submit 1099 and 1096 forms
  • Comply with internal financial policies and procedures and update them, as required
  • Maintain an up-to-date Financial Policies and Procedures Manual

Financial Grants Management:
  • Develop and maintain a calendar of deadlines for reports and submissions
  • Assist in preparation of grants/contracts budgets, budget narratives, and budget revisions
  • Track and predict variations in the grant/contract budget expenditures and income, reporting these to the Executive Director
  • Submit of all grant/contract financials with the approval of the Executive Director
  • Ensure adequate reporting and record keeping for all grants and contracts
  • Perform other duties, as assigned
Required Qualifications: 
  • Awareness of and sensitivity to issues of sexual victimization and social justice
  • Excellent written and verbal communication skills, including excellent skills in business English and general office practice
  • Excellent math/computational skills
  • Computer proficiency, and competence and experience with Excel, QuickBooks online (and proficient use of classes) and Microsoft Office Suite
  • Ability to operate general office equipment.
  • Excellent organizational skills and attention to detail
  • Comfort with and ability to manage multiple projects and deadlines
  • High School diploma or equivalent and two years of related work experience

Preferred Qualifications:

  • Post-secondary training in bookkeeping, grants management and/or related field
  • Previous experience as a bookkeeper

Accountability: Accountable to the Executive Director regarding all agency programming and operations.
